Privacy Policy
This policy explains how DialDesk CRM ("DialDesk", "we", "us") handles information. DialDesk is a Windows desktop application. It stores your business data on your own computer; we do not operate a server that receives your leads, calls, messages or recordings.
1. Data stored on your computer
Leads, notes, tasks, call logs, call recordings pulled from your phone, emails, WhatsApp messages you choose to log, quotations, library files and settings
are stored in DialDesk's data folder on your PC (%APPDATA%\DialDesk). Passwords and access tokens are encrypted with Windows Data Protection.
This data is under your control; you can export it, back it up or delete it at any time. We do not have access to it.
2. Google user data (Google Drive backup)
Google Drive backup is optional. If you click Connect Google Drive:

- DialDesk cannot see, open or change any other files in your Google Drive.
- Backups are encrypted on your computer (AES-256-GCM, key derived from a backup password you choose) before they are uploaded. Google and we cannot read their contents.
- The Google sign-in token is stored only on your computer, encrypted with Windows Data Protection. It is not sent to us or to anyone else.
- Google user data is used only to provide the backup and restore feature you turned on. It is not sold, not shared with third parties, not used for advertising, and not used to train AI or machine-learning models.
- No person at DialDesk reads your Google data.
DialDesk's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Stopping access: click Disconnect in DialDesk → Settings → Backup & restore (this also revokes the token), or remove DialDesk at myaccount.google.com/permissions. Backup files already in your Drive stay there until you delete them.
3. Other services you connect
DialDesk talks directly from your PC to services you configure; the data goes between your PC and that service, not to us:
- Your Android phone (via USB/Wi-Fi debugging) — to place calls, read call state and call history, and copy call recordings.
- Your email provider (SMTP/IMAP) — to send email and read replies.
- WhatsApp Web and, if you set it up, the WhatsApp Business Platform (Meta) — to open chats, send approved templates and receive replies.
- Cloudflare — only if you enable "receive WhatsApp API replies"; it forwards Meta's notifications to your PC.
Those services handle data under their own privacy policies.
4. Licensing
To activate a licence you send us your PC's Machine ID — a short code derived from a one-way hash of your Windows installation and hardware IDs. It does not reveal the hardware IDs themselves. We use it, together with the name and contact details you give us, only to issue and support your licence keys. Licence checks happen offline on your PC.
5. Your responsibilities
You decide which contacts to store and call. Please follow applicable law, including TRAI telemarketing rules and DND preferences, obtain consent where required, and inform people when calls are recorded.
6. Security
We use encryption for stored secrets and backups, signed licence keys, and tamper protection in the app. No method is perfectly secure; keep your PC, Windows account and backup password safe. If you lose the backup password, backups cannot be decrypted — by you or by us.
7. Retention and deletion
Data on your PC is kept until you delete it (the app has a recycle bin and permanent delete). Google Drive backups are kept for the number of days you choose (30 by default) and then deleted automatically; you can also delete the "DialDesk Backups" folder yourself. Licence records (name, contact, Machine ID, key) are kept by us for as long as needed to support your licence; ask us to delete them at any time.
8. This website
If you use the contact / free-trial form on this website, we receive the name, business name, mobile number, email, city, team size, the plan you are interested in and the message you enter, together with your IP address and the time. We use them only to reply to you, send the installer and discuss a licence. They are emailed to us and stored in a file on our web host; they are not sold or shared, and we delete them on request. The website sets one session cookie that is needed for the form's security check. It uses no advertising or analytics trackers, and its fonts are hosted on this site.
9. Children
DialDesk is business software and is not directed at children under 18.
10. Changes
We may update this policy; the effective date above will change. Material changes affecting Google user data will be described here before they take effect.
