Step-by-step help for everything in DialDesk CRM. Can't find it? Call or email the help line.

Connect your phone by USB

  1. On the phone open Settings → About phone and tap Build number seven times to turn on Developer options. (On realme / OPPO it is under Version; on Xiaomi, MIUI version.)
  2. Open Settings → System → Developer options and turn on USB debugging. On Xiaomi also turn on USB debugging (Security settings).
  3. Connect the phone with a data cable (some charging cables carry no data).
  4. Unlock the phone and tap Allow on "Allow USB debugging?". Tick "Always allow from this computer".
  5. In DialDesk CRM open Phone. Your phone model appears with a green dot. Keep the phone unlocked while dialing.

Connect over Wi-Fi (Android 11+)

  1. Put the PC and phone on the same Wi-Fi network.
  2. On the phone open Developer options → Wireless debugging, turn it on and tap Pair device with pairing code.
  3. In DialDesk CRM open Phone → Wi-Fi, enter the IP address, port and six-digit code shown on the phone, then click Pair.
  4. After pairing, click Connect. Next time it reconnects on its own when both are on the same network.

Import your leads

  1. Open Leads → Import and choose your Excel (.xlsx) or CSV file.
  2. Match each column to a DialDesk field. You can create new fields right there. Mappings are remembered for next time.
  3. Choose what to do with duplicates: skip, update or keep both. Numbers like "+91 98111-11111" and "09811111111" are recognised as the same.
  4. Click Import. A summary shows how many leads were added, updated or skipped.

Get call recordings

  1. Turn on automatic call recording in your phone's own dialer settings (for example Phone → Settings → Call recording → Record all calls).
  2. Make one test call. DialDesk CRM finds the recordings folder by itself; if not, pick it in Settings → Recordings.
  3. After each call the recording is copied and attached to the call on the lead's timeline.

Set up email

  1. Open Settings → Email → Add account and choose your provider (Google Workspace, Zoho, Hostinger, Outlook or custom).
  2. Enter your email address and password. For Gmail / Google Workspace use an App password (Google account → Security → App passwords).
  3. Click Test for both sending (SMTP) and receiving (IMAP), then Save.

Set up WhatsApp

  1. WhatsApp Web: open WhatsApp in the app and scan the QR code with WhatsApp on your phone (Linked devices → Link a device).
  2. WhatsApp Business API (for bulk templates): open WhatsApp API → Setup. The built-in guide walks you through Meta Business, the phone number, token and template approval.
  3. Only message people who have agreed to hear from you, and use approved templates for the Business API.

Back up to Google Drive and restore

  1. Open Settings → Backup & restore → Connect Google Drive and sign in on Google's page in your browser.
  2. Set a backup password. Write it down: without it, nobody (not even us) can open your backups.
  3. Backups then run once a day when you open the app, and the last 30 days are kept.
  4. To restore on a new or formatted PC, install DialDesk CRM, choose Restore from Google Drive in the setup wizard, sign in, pick a backup and enter the password.

Activate your licence

  1. Open Settings → Licence and click Copy next to your Machine ID.
  2. Send it to help@dialdesk.space with your plan.
  3. Paste the key you receive and click Activate. The licence screen shows your plan and expiry date.

Troubleshooting

Phone not detected
Try another data cable and USB port, unlock the phone and look for the "Allow USB debugging" prompt. In Developer options, tap "Revoke USB debugging authorisations" and reconnect.
Call does not start
The phone must be unlocked. Check the phone shows the green dot in DialDesk and that the number is not on your do-not-call list or outside calling hours.
Recording not attached
Make sure the phone's own recorder saved the call, then check the folder in Settings → Recordings. Some phones save recordings a few seconds after the call ends.
Emails not sending
Use Test in Settings → Email. For Gmail use an App password, not your normal password. Check your provider's daily sending limit.
WhatsApp Web logged out
Open the WhatsApp page in the app and scan the QR code again. Keep WhatsApp on your phone connected to the internet.
"Read-only mode" message
Your trial or plan has ended. Your data is safe. Send your Machine ID to renew and paste the new key in Settings → Licence.

Frequently asked questions

Does DialDesk CRM work on Mac or Linux?
Not at the moment. It is a Windows 10/11 desktop app.
Do I need a special phone or SIM?
No. Any Android phone with a normal SIM and your usual calling plan works. iPhones cannot be controlled from a PC in this way.
Is my data uploaded to your server?
No. Leads, calls and recordings stay on your PC. The optional Google Drive backup goes to your own Drive, encrypted on your PC first.
Can several people use it?
Each computer needs its own licence and its own phone. Many teams run one DialDesk per caller.
Is auto-dialing legal?
Calling people who asked to be contacted is normal business. Follow TRAI telemarketing rules and respect DND. DialDesk includes calling-hours limits and a do-not-call list to help.
Does it work without internet?
Yes for calling, CRM, follow-ups and reports. Email, WhatsApp and Drive backup need internet.
How long is the free trial?
Every feature, free for 7 days on each computer. No card needed.
What happens to my data if I stop paying?
Nothing is deleted. The app becomes read-only so you can still view and export everything.
